Service description

Caseload provides AI translation tools for social care professionals. The service translates voice and text capture into records that meet regulatory expectations. It is designed to assist professional judgement, not replace it.

Professional responsibility

Translated records are drafts that must be reviewed by a qualified professional before approval. The worker who approves a record takes professional responsibility for its accuracy and completeness. Caseload is a tool, not a substitute for professional assessment.

Data processing

Your organisation is the data controller. BespokeWorks.ai Ltd is the data processor. A Data Processing Agreement (DPA) governs our processing of personal data on your behalf. See the Privacy page for details.

Per-seat licensing and account integrity

Caseload is licensed on a per-seat basis. Each individual who uses the service must have their own unique account. Account sharing is strictly prohibited for the following reasons:

  • Audit trail integrity: every record, approval, and action is attributed to an individual user. Shared accounts corrupt the audit trail, which may result in regulatory non-compliance (CQC Regulation 17, BCC SEAQAS standards).
  • Professional accountability: the named author of a KWSN or record approval takes professional responsibility for its content. This attribution is meaningless if multiple people use the same credentials.
  • Safeguarding: safeguarding flags and escalations are routed to the correct supervisor based on who raised them. Shared accounts break this chain.

We monitor session activity including device fingerprints, IP addresses, and concurrent usage patterns to detect potential account sharing. Detected sharing results in an alert to the organisation administrator. Persistent violations may result in account suspension. The subscribing organisation is responsible for ensuring each worker has their own credentials.

Acceptable use

  • Use the service only for legitimate social care documentation purposes.
  • Do not share login credentials. Each worker must have their own account.
  • Do not attempt to bypass security controls or access other organisations' data.
  • Report any suspected data breach or security incident immediately.
  • Ensure all users in your organisation are trained on data protection obligations.

Service availability

We aim for 99.9% uptime but do not guarantee uninterrupted service. The offline-first design ensures workers can continue capturing records without connectivity. Data syncs automatically when connection is restored.

Limitation of liability

Caseload is provided "as is". We are not liable for decisions made based on translated content. Professional support workers must review all generated records before approval. Quality scores are guidance, not guarantees of compliance.

Regulatory compliance

The service is designed to support compliance with CQC Fundamental Standards, Care Act 2014, Mental Capacity Act 2005, and UK GDPR. However, compliance is the responsibility of the using organisation. Caseload provides tools and guidance to assist; it does not guarantee regulatory outcomes.
